Hi Time Trackers,

We've been getting a lot of feedback about expense tracking and reporting and would like your ideas for a Time Tracker-compatible expense tracking and reporting feature.

Imagine that you've been asked to work the Time Tracker booth at a trade show and your first task is to help design the product box for the new expense tracking and reporting feature.   What would the product box say?   What features are important to people who have to track and report expenses?  What one or two things would get people to come over to the booth to find out more?

Give us your ideas right here on our blog.

What is it?

The Time Tracker team at Intuit would like to introduce Time Tracker for Microsoft Outlook, a cool new application that we developed.

You can:

  • Bill for time directly from your Outlook calendar
  •
  • Capture time as you work
  •
  • Download time entries to QuickBooks Time Tracker automatically

Then you can send it all to the Time Tracker service for the back office to process.

 What problem did we solve?

Many time trackers also use Microsoft Outlook.  Most of their billable time is already recorded on their calendar in the form of meetings, scheduled jobs, and email messages.  Time Tracker for Microsoft Outlook allows these time trackers to bill for their time directly from Outlook, without having to re-enter that time in a a separate timesheet.  They simply highlight a calendar entry or email message, fill in some basic information, then send it to the Time Tracker service.  If a new time entry is required, entering basic information in an easy-to-complete form is all that it takes to record and send it.

Why is it designed the way it is?

The key to making time entry attractive to professionals is making it quicker and easier than recording time manually.   Creating a time entry with Time Tracker for Microsoft Outlook is as easy as sending an email.   The time entry form was designed by billing professionals for billing professionals, with features to make entering time nearly seamless.

Show me how it works:

You can even edit time entries directly from your calendar.

Let's say you have an email message in your In box that you'd like to bill a customer for.  You highlight the email, click Send to Time Tracker, fill out some basic information, and it's on its way to the Time Tracker server.

If you need to edit an entry before it's downloaded into QuickBooks, you can do that directly from Time Tracker for Microsoft Outlook.  Entering and editing time is quick and easy!

If you don't already have it and want to try it , visit  https://timetracking.quickbooks.com/j/tts/outlook?cmd=download , our Time Tracker for Microsoft Outlook page.

We made several updates to our Time Tracker for Microsoft Outlook beta. If you are currently using the previous version, you will want to download the latest revision from the home page. The key issues resolved are:

  • The majority of all known Outlook 2007 compatibility issues.
  • Several of the issues that caused the plug-in to crash.
  • Many of the other bugs reported by beta testers.

We appreciate all your help in making this revision of the beta that much better.

The recent release includes the following new features:
  • We are pleased to announce a very cool feature to the service, Time Tracker for Microsoft Outlook. Time Tracker for Microsoft Outlook allows time trackers the ability to track time in their Outlook calendar which can then be made available to Administrators for download. This feature is currently in beta and we are very excited to hear your feedback.
  • Time Trackers now have more flexibility when copying an existing timesheet to a blank one. They will be able to copy only customer:jobs and service items, or copy their hours as well, from any date they choose.

Thanks for your help in making this a better service.

Today we released more enhancements based on your input:
  • Administrators can now customize the invitation email that is sent to employees and contractors to sign-up for the service as well as customize the reminder emails. This means that you can opt out of the default email content and include your company's style and tone in your message.

As always, we appreciate your feedback.

Our recent update includes the following:

  • We heard from customers that data was still lost after the     timesheet timed out. This should no longer occur. After re-login, the     hours entered by a time tracker should be saved.
  •

  • A new look and feel for the Home page that time trackers see when they login.
  •

  • Confirmation at the bottom of the timesheet indicating the number of hours in the saved, submitted, and downloaded state.

Thanks for your continued feedback.

We have made more enhancements based on feedback from our users. These new features include:
  • When individual time trackers login to the service, they will now see a Home page that gives them quick access to what is important to them. There is even a link to this blog for users to what has changed in the latest release.
  • Individual time trackers will also be able to submit time right from the Home page. While users can still submit time from the timesheet itself, this feature allows users to submit any outstanding saved time, regardless of which timesheet it is on. It even allows for users to deselect time activities that they do not want to be sent to the administrators.
  • You will also notice new reporting capabilities for both administrators and time trackers. Users will be able to custom define report criteria to help them answer questions like, “How many hours did I work with this client over the last month?”
Again, we hope these changes are useful. Please let us know what you think.

We're happy to announce two new features to Time Tracker which we hope will alleviate some of the confusion now that time trackers can submit timesheets more than once a week (for details on submitting time more than once a week, see the release notes on our forum). The features are:
  • When individual time trackers click on View My Timesheets, they will now see a breakdown of Saved, Submitted, Downloaded, and Total Hours for each timesheet. This gives a quick heads-up display of what the different statuses are for the hours on each timesheet.
  • You also may have noticed the different colors for time entries popping up on your individual timesheets - submitted/downloaded hours are black, saved hours are green, and newly entered numbers are blue. Now, when you hover over a black number, you'll see text telling you if it is only submitted or it has already been downloaded by your admin.
Hope you find these features useful. Happy timetracking!
